Sales, refunds and invoices
Updated by Raheel Shan
Sales -> Sales lists every order, newest first, with the buyer, what they bought, the amount, how they paid, whether it was delivered, and its invoice number.
Filters and export
- Switch between product sales and donations.
- Filter by customer and by date range.
- Export CSV downloads the filtered list for your accountant.
Payment status
- Paid: the gateway confirmed it; the buyer already has their download, course, seat or meeting.
- Awaiting transfer: a bank transfer the buyer hasn't sent yet (or you haven't confirmed). Their seat or meeting slot is held for the number of days set on the Bank transfer gateway.
- Refunded: money returned; access is removed automatically.
Bank transfers
- The buyer sees your bank details and a reference like
BT-7K2QXD, and can upload a screenshot or PDF of the receipt at checkout or later from their order page. - You get an email (with the receipt attached if they uploaded one). In Sales the order shows Receipt uploaded and a Receipt link.
- When the money is in your account, click Mark as paid: the buyer gets their purchase immediately, exactly as if they had paid by card.
- If the money never comes, click Cancel: the order is removed and the slot or seat is freed.
A receipt is not proof of payment: always check your bank before marking paid.
Refunds
Click Refund on a sale:
- Stripe, PayPal, 2Checkout: the money goes back through the gateway automatically.
- Safepay: Safepay has no refund API for these payments. Refund in the Safepay dashboard; when Safepay tells the site (webhook), the sale is marked refunded by itself. The Refund button here only records it.
- Bank transfer / manual: send the money back yourself; the button records it.
A refund always removes access: downloads stop working, course access ends, the meeting is cancelled, a bootcamp seat is freed, a membership ends, a licence key is revoked, and a bundle's products are taken back. The buyer gets a refund email.
Refunds made directly in the Stripe, PayPal, 2Checkout or Safepay dashboards are picked up by their webhooks.
Invoices
Every paid order gets a sequential invoice number (prefix set in Settings -> Tax & invoices). Buyers download invoices as PDF from their account. Your business name, address, tax number and tax rate appear on them.
Customers
Sales -> Customers lists everyone with an account. An account is created automatically for courses, workshops and memberships (they're watched from the account), or when the buyer ticks "create my account". You can delete a customer; their past invoices stay, unlinked.
